Your selected event date is not guaranteed until a signed contract and 50% deposit are received.
The remaining 50% balance is paid in two equal installments.
The final payment is due 90 days prior to your event date.
Payment Plan Option
Payment plans are available. Couples may choose to make partial payments every three months, with all payments completed no later than 30 days before the event.

Cash or check is preferred. A credit card can be accepted through our online portal.
Required by Albany County, WY, a 6% sales tax fee will be added to your total invoice.

Black Fox Day-Of Coordinator (Optional)
If you would like to hire one of our Black Fox day-of coordinators, this service is available for $500.
Our coordinator’s goal is to help your day feel calm, organized, and stress-free, making sure everyone is where they need to be and that your plans flow smoothly.
This includes:
Creating and organizing your wedding-day timeline
Reaching out to your vendors the week prior to your event to introduce herself and confirm details
Leading your rehearsal the evening before your wedding
Managing logistics and keeping things moving on the wedding day — so you don’t have to
Black Fox Team Leader (Always Included)
We always have at least one Black Fox team leader on-site during your wedding day. The team leader will:
Assist vendors with finding their designated set-up locations
Help keep the venue running smoothly
Provide access to our timeline template, if desired
Please note: while our team leader is a helpful on-site resource, this role does not replace a dedicated day-of coordinator.
Outside Wedding Planners or Coordinators
If you choose to hire an outside wedding planner or day-of coordinator, we simply ask that:
They are introduced to us in advance
They are familiar with and follow venue guidelines
Outside planners are welcome to attend planning meetings and collaborate with us to ensure a smooth and successful event.

Based on your décor selections and instructions, the Echos of Yesterday team will set up and style your wedding décor for:
The ceremony area
Cocktail hour
Reception space
Cake or dessert table
Gift table
You’re welcome to select from our extensive décor inventory, which is included as part of your rental package. Décor selections must be finalized at least 30 days prior to your wedding date to ensure availability and allow for thoughtful preparation.

What clean-up is included?
Black Fox on Welsh will clean up venue décor, the ceremony area, and empty garbage following your event.What are we responsible for?
Couples are responsible for removing personal items and any décor or rentals not provided by Black Fox.What are caterers and bartenders responsible for?
Caterers and bartenders must clean the areas they work in, including food prep, food tables, and bar areas. They should empty garbage in the dumpster.Do we need to stay late to clean up?
No we handle the cleanup. Remaining personal items may be picked up during the scheduled clean-up window. -
Do you have preferred caterers?
Yes. We have a list of caterers we’re familiar with and enjoy working with. You’re also welcome to bring your own caterer, provided they are licensed and insured.Is there a kitchen available?
Yes. We offer a prep kitchen (no on-site cooking permitted). Kitchen amenities include:3-door commercial refrigerator

Who is responsible for dishes and table clearing?
If you rent dishes from Black Fox, we will clear dirty dishes from tables.
If dishes, glassware, or flatware are provided by your caterer, they are responsible for clearing and handling them.
Who is responsible for cleaning kitchen and bar areas?
Refrigerators, prep areas, food tables, and bar areas must be cleaned by your caterer and bartender on Saturday evening (or the day of the event).What happens with leftover food?
Your caterer (or a designated person) should box all leftover food and place it in the refrigerator. Leftovers may be picked up Sunday morning during the clean-up window if desired.When must caterers remove their items?
Caterers must remove all equipment, supplies, and personal items by 11:00 pm on Saturday (or the day of the event). Black Fox on Welsh is not responsible for any items left on the premises.Where do caterers park?
Caterers may park behind the kitchen for direct and convenient kitchen access.

After your contract is signed, we’ll share our preferred vendor list, which includes professionals across many wedding categories. These are vendors we’ve worked with previously or whose work we know and trust.
Couples are not required to use vendors from this list. However, we do ask that you share your selected vendors with us in advance. This allows us to:
Confirm they meet venue requirements
Provide guidance if a vendor is unfamiliar to us
Help ensure a smooth and well-coordinated event
Our goal is to support your choices while helping your wedding day run seamlessly.

You may provide your own alcohol or hire a licensed retail bar service for your event.
Shots are not permitted.
A TIPS-trained bartender is required for all events serving alcohol.
Clients are responsible for providing ice, especially if larger quantities are needed.

For Saturday weddings, you’ll have access to the property during the following times:
Friday | 3:00 pm – 7:00 pm
A perfect time to bring décor or personal items and hold your rehearsal.
Rehearsal dinners may also be scheduled during this time — please ask us for details and availability.Saturday | 9:00 am – 11:00 pm
The bride and bridal party may begin using the bridal suite starting at 9:00 am.
Music and bar service must conclude by 10:30 pm.Sunday | 9:00 am – 12:00 pm
Time is available for any remaining clean-up or item pick-up.

With access to both indoor spaces, you have the flexibility to design a layout that flows naturally throughout the day. For example, you may choose to host cocktail hour outdoors, hold your reception in one indoor space, and reserve the second space for dancing or late-night gathering.
Guest capacity varies depending on layout:
Maximum capacity: 106–118 guests (including the wedding party), depending on layout
(118 guests is possible but will feel tight)Comfortable seating: 90–100 seated guests (including the wedding party)

Is parking available on-site?
Yes. On-site parking is available for guests attending events at Black Fox on Welsh.Is parking included in our rental?
Yes. Guest parking is included as part of your venue rental.Is there a limit to the number of vehicles?
Parking capacity comfortably accommodates standard wedding guest counts. We’re happy to help plan parking logistics based on your guest list and event layout.Can guests leave vehicles overnight?
Yes. Vehicles may be left overnight at the owner’s risk. All vehicles must be picked up by the designated clean-up window unless prior arrangements are made.Is parking available for vendors?
Yes. Vendor parking is available on-site. We’ll assist vendors with load-in and direct them to appropriate parking areas as needed.Is accessible parking available?
Yes. Accessible parking is available close to the venue entrance.Can we use shuttle or transportation services?
Yes. Shuttle services and transportation providers are welcome. Please let us know in advance so we can coordinate arrival and drop-off locations.

Being located on a rural property with fields surrounding us we do not allow any open flames - candles, fireworks, sparklers, or bonfires.
We are a non-smoking facility. If you or your guests smoke, you will need to do this in the designated outside area, and all cigarette butts need to be disposed of in the provided container.

Many areas of Black Fox on Welsh are accessible; however, please note that the house contains multiple stairs and is not ADA accessible.
The event space includes a wheelchair lift providing access to the Timber Room
The Willow Room is accessible
Both restrooms are ADA-compliant
The ceremony area is located on a grassy lawn, which may be uneven
As Black Fox is a private residence, some landscaped and outdoor areas are not fully accessible

All events at Black Fox on Welsh require the couple to obtain a $1 million event insurance policy, with BFW (Black Fox on Welsh) listed as an additional insured.
The cost is typically around $250, though pricing may vary.
Proof of insurance must be provided at least one week prior to your wedding date.
Couples have successfully used providers such as Eventsured.com and Wedsafe.com.
Vendor Insurance
All vendors working on-site are also required to provide proof of insurance at least one week before the event.
This policy helps protect everyone involved and ensures a smooth, worry-free celebration.

Fresh Flower FAQs
Fresh florals available: We offer fresh floral bouquets and boutonnieres through a trusted wholesale floral distributor based in Denver.
What’s included: Silk florals and décor are included in your venue rental. Fresh flowers are an optional add-on.
Fresh centerpieces: Fresh flower centerpieces can be provided in place of the silk centerpieces we include and are quoted separately.
Pricing: Pricing varies based on flower selection, arrangement size, seasonal availability, and market pricing at the time of ordering.
Pricing confirmation: Floral pricing is not guaranteed until selections are finalized and confirmed in writing.
Inspiration welcome: Pinterest boards and inspiration photos are encouraged and can be shared during your décor and styling meeting.
Outside florist: Choosing fresh florals through Black Fox allows you to work with one less outside vendor and keeps your décor cohesive.

Yes, our curated furniture pieces can be set up outside in approved areas depending on weather and ground conditions. We’ll work with you to ensure everything is both beautiful and secure.

We offer several easels and designated backdrop areas for signage, seating charts, and décor displays.
Hooks are available in select areas for hanging approved items.
Please do not use tape, nails, screws, or adhesives on walls, woodwork, or venue surfaces.
We’re happy to help you identify the best display and hanging options during your planning process to keep everything beautiful and damage-free.

Well-trained, friendly, and leashed dogs are welcome to participate in the wedding ceremony.
Dogs must be taken home immediately following the ceremony and may not remain on-site for the reception.
Due to the rural setting, there are children, wildlife, and livestock nearby, which can be distracting for pets. We recommend assigning a designated person to care for and transport your dog after the ceremony.
We love including furry family members and appreciate your help in keeping the day safe and enjoyable for everyone.

Yes, there are several hotels within 2 miles. Laramie also has a large number of Airbnbs.
We also own 5 Airbnbs in town that we can provide you the names of.

Included in your rental fees you can select from assorted linen napkins and table runners.
Table linens are not necessary if you are using the farm tables. However, if you wish to use the round 60” tables, they will need table linens. We can work with a 3rd party vendor to order table linens, this would need to be done at least 30 days in advance.
If you would like to upgrade to real table settings, we do offer those for an additional fee. We have beautiful vintage plates, flatware, clear goblets and assorted colored goblets. White and clear plates are also available as well as flatware. We also have real wine glasses and clear drinking glasses.

At Black Fox on Welsh, we’re fortunate to offer the flexibility to move your ceremony indoors without disrupting the reception space if needed.
The Timber Room can be easily set as a beautiful indoor ceremony location and then quickly transitioned into the dance floor, allowing your celebration to continue smoothly and stress-free.
This flexibility ensures your day stays on track — no matter the weather.
